The Facilities and Fleet Manager is responsible for coordinating and managing all operational and logistical activities. This involves resource sharing across multiple campuses (academic and industry centric), managing a centralized equipment pool, standardizing facility use, and overseeing production support for all participating institutions and their students. The manager ensures efficiency, cost-effectiveness, and compliance with all statewide, institutional and industry policies within the consortial framework.
Responsibilities
Multi-campus coordination and management
Consortial liaison: Act as the central point of contact for all logistics and operational needs across participating campuses, including faculty and staff training on standardized procedures.
Standardization: Develop, document, and enforce consistent operational policies and procedures for equipment usage, facilities booking, and safety protocols across all instructional locations in the consortium.
Resource allocation: Manage and coordinate the equitable distribution and scheduling of shared production equipment, facilities, and transportation resources among all campuses, ensuring fair access for all instructors and students.
Inventory control: Oversee the master inventory system for all unit-owned equipment and assets, tracking their location, usage, and maintenance history across the state.
Team leadership: Supervise and mentor a team of production coordinators, equipment managers, and operational staff, ensuring a high level of performance and service. Overseeing employee attendance, effectiveness and safety, creating and deploying professional development training as needed.
Equipment and inventory logistics
Equipment pool management: Administer a centralized equipment checkout system that serves multiple campus locations. This includes scheduling, managing reservations, and handling the logistics of equipment transfer between campuses.
Centralized procurement: Coordinate the purchasing of new equipment and supplies for all campuses, leveraging the scale of the system to negotiate favorable vendor contracts and manage third-party logistics providers.
Maintenance and repair: Establish a centralized maintenance and repair program for all equipment, including managing service contracts and coordinating repairs with campus-specific technical staff and instructors assigned to these locations.
Damage control: Implement a standardized policy for reporting lost or damaged equipment and manage insurance claims across the consortial unit.
Facilities and space coordination
Operational oversight: Manage the daily operations of all dedicated film and media production spaces, labs, and classroom facilities within the consortial unit.
Maintenance coordination: Act as a liaison with studio and campus facilities departments to coordinate maintenance, repairs, and capital improvements for all shared spaces.
Safety and security: Collaborate with campus security and risk management offices to implement standardized safety procedures for all production facilities and equipment.
Facility scheduling: Manage the booking and scheduling of shared facilities and labs, ensuring equitable access and resolving scheduling conflicts among campuses.
Financial and administrative duties
Budgetary management: Assist senior leadership with the development and management of the operational budget for equipment, facilities, and other logistical resources.
Cross-functional collaboration: Work closely with the director of production and workforce, curriculum manager, and other leaders within the academic unit to ensure operational support aligns with all academic and industry initiatives.
Performance reporting: Generate and analyze reports on equipment utilization, operational costs, and other key performance indicators to assess the effectiveness and efficiency of the consortial operations.
Required Qualifications
Bachelor's degree and over three years of experience required.
Preferred Qualifications
Experience: Several years of experience in operations and logistics management, with demonstrated experience working in a multi-campus or consortial environment, preferably within higher education or the film/entertainment industry.
Bachelor's degree in a relevant field such as logistics, business administration, film production support services, or film production.
